1. Information on the processing of personal data

Your data security is important to us and we therefore attach great importance to ensuring that your personal data is handled responsibly. Below you can read how ConMedia ApS (hereinafter “Conmedia”, “we”, “us” or “our”) processes personal data about you when we act as data controller. You can also read about your rights in connection with our processing.

2. Conmedia's role as data controller

In connection with the operation of our company, we process a number of personal data. We do this so that we can serve you in the best possible way. We collect and process mainly ordinary (non-sensitive) personal data.

3. What personal data we collect and the purpose

We process personal data about you in a variety of situations. Read more about our treatment in the different situations below.

3.1. Visitors to Conmedia websites and users of Conmedia's online services

When you visit Conmedia's websites (e.g. www.Conmedia.dk) or use our other online services (e.g. Instagram, LinkedIn, Facebook and YouTube, etc.), Conmedia may process information about your IP address as well as information about your computer, device and browser.

We also process information about your visit (e.g. information about the way you access our websites, how you navigate around them, which pages you visit, content you look at, your searches, advertisements you have seen, etc.). This personal data is collected through cookies, logs and other technologies (you can read more about our use of cookies hereto).

We also process personal data that you provide to us in connection with your use of the website or our online services, for example when you fill out a form or register online, including your name, telephone number/mobile number, email address, company name, CVR number, company address, work phone number, title, as well as any other information you provide to us.

We use your personal data in order to make relevant products, supplies, services and services available to you (“Services”) and to improve your experience of our websites and online services and the Services we offer. We also use the personal data to show you content on our and others' pages based on your activities and preferences, and to limit the number of times you see the same content.

Our basis for processing is our legitimate interests (GDPR Article 6 (1) (f)) or your consent (GDPR Article 6 (1) (a) and Cookie Notice § 3).

We store personal data collected in connection with your visit to our website for up to 2 years depending on the specific data collection. In this regard, see our cookie policy.

3.2. Customers and potential customers of Conmedia

When you are a customer/potential customer of Conmedia, Conmedia processes personal data about your name, email address, CVR number, company address, work phone number, title, photos, your purchases, payment information, as well as information from publicly available sources and other information that you provide to us.

We process the personal data for the purpose of fulfilling the agreement with our customers, for the purpose of providing the Services, invoicing, keeping statistics and conducting quality management, as well as maintaining our customer records and providing general service, marketing and sales to our customers and potential customers.

Our basis for processing is the agreement with you (GDPR Article 6 (1) (b)) or our legitimate interests (GDPR Article 6 (1) (f)).

We retain information on our customers for 5 years after the end of the customer relationship until the end of a financial year in accordance with the requirements of the Accounting Act.

For potential customers, the information is retained for 1 year after the last contact with a potential customer to ensure that the dialogue is deleted only when it is not relevant to a potential collaboration.

3.3. Marketing of Conmedia

Newsletter Recipients

When you receive marketing from Conmedia, we process personal data about your name, phone number/mobile number, email address and product interest. We also process information about your marketing or communication preferences and your use of the marketing we send to you (including, for example, whether you have opened an email from us, whether the email has been read and which links you have opened) and information that you otherwise provide to us.

We process your personal data for the purpose of marketing our company and the company's Services, establishing and managing you as a subscriber to marketing. We use the personal information about your preferences and usage to understand the way our subscribers receive our marketing and to improve marketing towards you and our other subscribers going forward.

We will only send marketing material to you by e-mail, text message or other electronic channel when we have obtained your consent to do so, where this is required by the rules of the Marketing Act.

We also use personal data about you to show you content on our and others' pages based on your activities and preferences, to limit the number of times you see the same content, and to measure the effectiveness of our content and marketing.

Our basis for the processing is our legitimate interests (Article 6 (1) (f)) and/or your consent (GDPR Article 6 (1) (a) and Section 10 of the Marketing Act and Section 3 of the Cookie Notice).

Information collected in connection with your subscription to our newsletter will be deleted when your consent to receive newsletters is withdrawn, unless we have another basis for processing the information.

In accordance with the Consumer Ombudsman's guidelines and requirements, we retain evidence of your consent to send you marketing material by email until two years after we last used your consent.

 

Using Facebook Pixels

We also use pixels for marketing purposes.

On the Conmedia website, Facebook pixels are used.

Facebook pixels collect the following type of data:

  1. HTTP headers - All that stuff says in HTTP headers. HTTP headers are a standard web protocol that is sent between a browser request and a server on the Internet. HTTP headers contain IP addresses, information about the web browser, the page location, the document, the referrer, and the person using the website.
  2. Pixel-specific data - It includes the pixel ID and the cookie.
  3. Button click data - This includes all clicks on buttons by you as a website visitor, the labels on the buttons and all pages visited as a result of clicking on the buttons.
  4. Optional Values — Developers and marketers can choose to send additional information about the visit via custom data events
  5. Names of form fields - It includes website field names, e.g. “email”, “address” and “number” when you purchase a product or service. The pixel does not detect field values unless an advertiser includes them as part of advanced matchingor optional values.

This data is sent for the purpose of optimizing the content of our website, setting up custom ads as targeted marketing on Facebook, and analyzing the conversion resulting from our ads.

Our basis for the processing is our legitimate interests (Article 6 (1) (f)) and/or your consent (GDPR Article 6 (1) (a) and Section 10 of the Marketing Act and Section 3 of the Cookie Notice).

We store personal data on recipients of marketing via Facebook pixels as further described in our cookie policy.

 

Using the Google Ads-Remarketing Tag

The Google Ads-Remarketing Tag has been added to Conmedia's website. Therefore, you may be presented with ads on pages that are part of the Google Ad Network according to your previous behavior, and statistics will be collected about the conversion resulting from our ads.

This data is sent for the purpose of optimizing website content, setting up custom ads as targeted advertising on Google pages, and analyzing conversion.

Our basis for the processing is our legitimate interests (Article 6 (1) (f)) and/or your consent (GDPR Article 6 (1) (a) and Section 10 of the Marketing Act and Section 3 of the Cookie Notice).

We store personal data on recipients of marketing via the Google Ads-Remarketing Tag as further described in our cookie policy.

 

Use of Google Analytics

On the website we use Google Analytics to optimize our marketing.

In this connection, we collect personal data about your visit to our website. This includes information about your interaction on the website including which pages you visit on the website, where you are on each page, which pages you click on, etc.

We use the personal information about your preferences and usage in order to understand the way our website visitors receive our marketing and to improve marketing going forward.

Our basis for the processing is our legitimate interests (Article 6 (1) (f)) and/or your consent (GDPR Article 6 (1) (a) and Section 10 of the Marketing Act and Section 3 of the Cookie Notice).

We store personal data on recipients of marketing through Google Analytics as further described in our cookie policy.

3.4. Visitors to Conmedia's office

When you visit Conmedia's office, we process personal data about your name, company name, title and any other information you choose to provide to us.

We process this personal data for security reasons and in connection with meeting requests and venue bookings. Our basis for processing is our legitimate interests (GDPR Article 6 (1) (f)).

We retain information about our guests to the extent necessary. Thus, information is deleted on an ongoing basis as it is not relevant to store the information further.

Where we monitor video, we disclose it in accordance with Section 3 (1) of the Television Surveillance Act. All recordings are stored securely and only played if necessary, for example in the event of a security breach. Recordings are played only for people who have a work-related need for it. The recordings are typically automatically overwritten after a short period of time unless a problem is identified that requires investigation, such as theft.

We store information collected in connection with TV surveillance for 30 days in accordance with the Television Surveillance Act. Storage is carried out in order to promote the safety of the persons who move in the TV-monitored area, to prevent and solve crime and to protect the company's property.

In special cases, the recordings may be stored for a longer period of time, if necessary in connection with a specific dispute or Section 4c (2) of the Television Surveillance Act

3.5. Attendees at Conmedias events

When you register and participate in events held by Conmedia, we process personal data about your name, address, phone number/mobile number and email address, as well as which event you are attending.

We process this personal data for the purpose of administering the event and for security reasons, as well as to be able to send you relevant material.

Our basis for processing is our legitimate interests (GDPR Article 6 (1) (f)) or your consent (GDPR Article 6 (1) (a) and the Marketing Act § 10).

We store personal data on participants from the time of registration for 30 days after the event is held in order to manage, evaluate and follow up the event after the event is held.

3.6. Partners and/or suppliers to Conmedia

When you are a partner or supplier to Conmedia or are a contact person of a collaborator/supplier, we process personal data about your name, company name, company address, work phone number, email address, photos, bank details and title, as well as publicly available information and other information that you provide to us.

We process the personal data for the purposes of contract management, as well as to receive goods and services from our suppliers and business partners, and where appropriate to fulfill agreements with our customers.

Our basis for processing is the agreement with you (GDPR Article 6 (1) (b)) or our legitimate interests (GDPR Article 6 (1) (f)).

We keep the above information about business partners and/or suppliers for 5 years after the end of the cooperation until the end of a financial year in accordance with the requirements of the Accounting Act.

3.7. Other general purposes of processing

We may enrich the personal data described above with information from other sources. It may be publicly available information — including information that we obtain through commonly available sources.

Personal data collected by us for the purposes described above may also be processed by Conmedia in order to comply with laws and regulations to which Conmedia is subject in connection with the operation of our business or to comply with various reporting or disclosure obligations under applicable laws and regulations (Article 6 (1) (c) of the General Data Protection Regulation).

If Conmedia sells all or part of our business, or sells or transfers our assets, or is otherwise involved in a merger or transfer of all or a substantial part of our business, Conmedia may transfer your personal data to the party or parties involved in the transfer as part of that transaction, where this can be done in accordance with the law (GDPR Article 6 (1) (f)).

Finally, Conmedia may process your personal data in order to enforce or defend our or third parties' legal rights or legitimate interests, where this is necessary, factual and proportionate (Article 6 (1) (c) of the General Data Protection Regulation).

4. Sharing your personal data with others

Conmedia may disclose your personal data to other suppliers and/or service providers in connection with the ordinary operation of our business, as well as to our group affiliates.

In connection with the use of Facebook pixels described in section 3.4, we disclose personal data to Facebook.

Through the use of the Google Ads-Remarketing Tag and Google Analytics as described in section 3.3, personal data is transferred to Google.

Conmedia may also disclose your personal data to a company or public authority in situations where we are specifically obliged to disclose your personal data pursuant to legislation and notification obligations to which we are subject.

We try to limit the disclosure of data in a personally identifiable form and thus the disclosure of information that can be attributed to you personally.

Conmedia also transfers your personal data to data processors when this is a prerequisite for fulfilling the purpose. Our data processors only process your personal data for our purposes and on our instructions.

5. Transfer of personal data to countries outside the EU/EEA

In connection with our processing of your personal data, we may transfer the data to countries outside the EU/EEA.

Data protection legislation in these countries may be more lenient than it is in Denmark and the rest of the EU/EEA. However, in some countries, the European Commission has determined that the level of data protection is in line with the level of protection existing in the EU/EEA. If we transfer personal data to countries where this is not the case, the transfer of your personal data to those countries outside the EU/EEA will take place on the basis of the standard transfer contracts drawn up by the EU Commission, specially designed to ensure an adequate level of protection.

6. Retention period, data integrity and security

Your personal data will not be stored longer than is necessary to fulfill the purposes for which it was collected. When your personal data is no longer needed, we will ensure that it is deleted in a secure manner.

It is our policy to protect personal data by taking adequate technical and organizational security measures.

We have implemented security measures to ensure data protection for all the personal data that we process. We regularly carry out internal follow-up on the adequacy and compliance of policies and measures.

7. Your rights

As a data subject, you have a number of rights under the Data Protection Regulation. If you want to exercise your rights, please contact us.

You may — unconditionally and at any time — withdraw any consent. This can be done by sending an email to us (see email above). Revoking your consent will not have any negative impact. However, this may mean that we will not be able to fulfill specific requests from you in the future. Withdrawal of your consent will not affect the lawfulness of processing on the basis of consent before it is withdrawn. Furthermore, it will not affect any processing carried out on any other lawful basis.

You can also — unconditionally and at any time — object to our processing where it is based on our legitimate interest.

Your rights also include the following:

  • Right to insight: You have the right to access the personal data that we process about you.
  • Right to rectification: You have the right to have incorrect personal data about yourself corrected and incomplete personal data completed.
  • Right to erasure (right to be forgotten): In exceptional cases, you have the right to have your personal data erased before the time when we would normally delete your personal data.
  • Right to restriction of processing: In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to have the processing restricted, in future we will only process the personal data — other than storage — with your consent, or for the purpose of establishing, asserting or defending legal claims, or for the protection of a person or important public interests.
  • Right to object: In certain cases, you have the right to object to our processing of your personal data, and always if the processing is for the purpose of direct marketing.
  • Right to data portability: In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have this personal data transferred from one controller to another.
