1. Information on the Processing of Personal Data

Your data security is important to us, and we therefore place great emphasis on ensuring that your personal data is handled in a responsible manner. Below you can read how ConMedia ApS (hereinafter “Conmedia”, “we”, “us” or “our”) processes personal data relating to you when we act as data controller. You can also read about the rights you have in connection with our processing.

2. Conmedia’s Role as Data Controller

In connection with the operation of our business, we process a range of personal data. We do so in order to provide you with the best possible service. We primarily collect and process ordinary (non-sensitive) personal data.

3. Categories of Personal Data and Purposes of Processing

We process personal data relating to you in a number of different situations. Please read more about our processing in the respective situations below.

3.1 Visitors to Conmedia’s Websites and Users of Conmedia’s Online Services

When you visit Conmedia’s websites (e.g. www.conmedia.dk) or use our other online services (e.g. Instagram, LinkedIn, Facebook and YouTube), Conmedia may process information about your IP address as well as information about your computer, device and browser.

We also process information about your visit (e.g. how you access our websites, how you navigate on them, which pages you visit, content viewed, searches performed, advertisements viewed, etc.). These personal data are collected via cookies, log files and similar technologies (please refer to our cookie policy for further information).

Furthermore, we process personal data that you provide to us in connection with your use of the website or our online services, for example when you complete a form or register online, including your name, telephone/mobile number, email address, company name, CVR number, company address, work telephone number, job title, and any other information you provide to us.

We use your personal data to make relevant products, deliveries, services and solutions (“Services”) available to you and to improve your experience of our websites and online services, as well as the Services we offer. We also use personal data to display content to you on our own and third-party websites based on your activities and preferences and to limit the number of times you are shown the same content.

The legal basis for the processing is our legitimate interests (Article 6(1)(f) of the GDPR) or your consent (Article 6(1)(a) of the GDPR and Section 3 of the Executive Order on Cookies).

Personal data collected in connection with visits to our website are stored for up to two (2) years depending on the specific data collection. Please refer to our cookie policy for further details.

3.2 Customers and Potential Customers of Conmedia

When you are a customer or potential customer of Conmedia, we process personal data relating to your name, email address, CVR number, company address, work telephone number, job title, photographs, purchases, payment information, information from publicly available sources, and other information you provide to us.

The personal data are processed for the purpose of fulfilling our agreement with customers, delivering the Services, invoicing, compiling statistics, quality management, maintaining customer records, and providing general service, marketing and sales towards customers and potential customers.

The legal basis for the processing is the performance of a contract (Article 6(1)(b) of the GDPR) or our legitimate interests (Article 6(1)(f) of the GDPR).

Customer data are stored for five (5) years after termination of the customer relationship, until the end of a financial year, in accordance with the Danish Bookkeeping Act.

Data relating to potential customers are stored for one (1) year after the most recent contact, to ensure that dialogue is only deleted when it is no longer relevant to a potential collaboration.

3.3 Marketing by Conmedia

Recipients of Newsletters
When you receive marketing communications from Conmedia, we process personal data such as your name, telephone/mobile number, email address and product interest. We also process information about your marketing or communication preferences, your use of our marketing (e.g. whether you have opened an email, whether it has been read, and which links you have clicked), and any other information you provide to us.

The personal data are processed for the purpose of marketing our company and Services, as well as for establishing and administering your subscription to marketing communications. We use information about your preferences and usage to understand how recipients interact with our marketing and to improve future marketing efforts.

We only send marketing material via email, SMS or other electronic channels when we have obtained your consent where required under the Danish Marketing Practices Act.

We also use personal data to display content to you on our own and third-party websites based on your activities and preferences, to limit repeated display of the same content, and to measure the effectiveness of our content and marketing.

The legal basis for the processing is our legitimate interests (Article 6(1)(f) of the GDPR) and/or your consent (Article 6(1)(a) of the GDPR, Section 10 of the Danish Marketing Practices Act, and Section 3 of the Executive Order on Cookies).

Data collected in connection with your subscription to our newsletter are deleted when your consent is withdrawn, unless we have another legal basis for processing the data.

In accordance with guidelines from the Danish Consumer Ombudsman, we retain documentation of your consent to receive marketing by email for up to two (2) years after we last relied on your consent.

Use of Facebook Pixel
We use pixels for marketing purposes. Facebook Pixel is used on Conmedia’s website.

Facebook Pixel collects the following types of data:

  • HTTP headers (including IP address, browser information, page location, referrer, etc.)
  • Pixel-specific data (pixel ID and cookie)
  • Button click data (all button clicks, button labels and pages visited as a result)
  • Optional values (additional information sent via custom data events)
  • Form field names (e.g. “email”, “address”, “quantity”). Field values are not recorded unless included as part of advanced matching or optional values.

The data are used to optimize website content, create targeted Facebook advertisements, and analyze conversions.

The legal basis is our legitimate interests (Article 6(1)(f) of the GDPR) and/or your consent (Article 6(1)(a) of the GDPR, Section 10 of the Danish Marketing Practices Act, and Section 3 of the Executive Order on Cookies).

Data retention follows our cookie policy.

Use of Google Ads Remarketing Tag
Google Ads Remarketing Tag is implemented on Conmedia’s website. This enables the display of advertisements within Google’s advertising network based on previous behavior and enables conversion tracking.

The data are used to optimize website content, create targeted Google advertisements, and analyze conversions.

The legal basis and retention follow the same principles as described above and in our cookie policy.

Use of Google Analytics
We use Google Analytics to optimize our marketing. This includes collecting information about your interaction with our website, such as pages visited and navigation behavior.

3.4 Visitors to Conmedia’s Offices

When you visit Conmedia’s offices, we process personal data such as your name, company name (if applicable), job title and other information you choose to provide.

Processing is carried out for security purposes and in connection with meeting invitations and room bookings. The legal basis is our legitimate interests (Article 6(1)(f) of the GDPR).

Visitor data are stored only as long as necessary and are deleted on an ongoing basis when no longer relevant.

Where video surveillance is in place, signage is provided in accordance with Section 3(1) of the Danish Act on TV Surveillance. Recordings are stored securely and only accessed where necessary, e.g. in the event of a security incident. Recordings are typically overwritten automatically after a short period unless required for investigation.

Video surveillance recordings are stored for thirty (30) days in accordance with the Danish Act on TV Surveillance, with extended retention possible in special cases.

3.5 Participants in Conmedia Events

When you register for and participate in events organized by Conmedia, we process personal data such as your name, address, telephone/mobile number, email address and the event attended.

Processing is carried out for event administration, security purposes and for sending relevant material. The legal basis is our legitimate interests (Article 6(1)(f) of the GDPR) or your consent (Article 6(1)(a) of the GDPR and Section 10 of the Danish Marketing Practices Act).

Data are stored from registration until thirty (30) days after the event.

3.6 Business Partners and/or Suppliers

When you are a business partner or supplier to Conmedia, or a contact person thereof, we process personal data such as name, company name, company address, work telephone number, email address, photographs, bank details, job title and publicly available information.

Processing is carried out for contract management, procurement of goods and services, and fulfillment of customer agreements. The legal basis is contract performance (Article 6(1)(b) of the GDPR) or our legitimate interests (Article 6(1)(f) of the GDPR).

Data are stored for five (5) years after termination of cooperation, in accordance with the Danish Bookkeeping Act.

3.7 Other General Processing Purposes

We may supplement the above personal data with information from other sources, including publicly available sources.

Personal data may also be processed to comply with legal obligations (Article 6(1)(c) of the GDPR), in connection with business transfers or mergers (Article 6(1)(f) of the GDPR), or to establish, exercise or defend legal claims.

4. Disclosure of Personal Data

Conmedia may disclose personal data to suppliers, service providers and affiliated companies as part of normal business operations.

Personal data may also be disclosed to Facebook, Google, or public authorities where required by law.

We strive to limit disclosures of personally identifiable data.

Processors act solely on our instructions and for our purposes.

5. Transfer of Personal Data Outside the EU/EEA

Personal data may be transferred to countries outside the EU/EEA. Where adequate protection is not ensured, transfers are based on the European Commission’s Standard Contractual Clauses.

6. Retention, Data Integrity and Security

Personal data are retained only as long as necessary and are deleted securely when no longer required. We implement appropriate technical and organizational security measures and conduct regular reviews.

7. Your Rights

You have rights under the GDPR, including the right to withdraw consent at any time, object to processing based on legitimate interests, and the rights of access, rectification, erasure, restriction, objection, data portability, and to lodge a complaint with the Danish Data Protection Agency (Datatilsynet).
